Overview

Our client, a New York investment firm, is seeking an Executive Assistant to the COO. The ideal candidate will be proactive and highly organized. Hours are 8:30am-6:00pm.
Responsibilities Include:
  • Heavy phone coverage
  • Maintain calendar and schedule meetings, telephone, video and web conference calls
  • Complete expense reports
  • Organize special events, meetings, rsvp lists
  • Liaise with other departments as needed on the execution of strategic projects on behalf of the COO/Investment Team and establish effective working relationships with colleagues and external contacts
  • Manage and prepare health insurance claims
  • Arrange travel  including ground transportation, hotel reservations, and flights
  • Collect and prepare detailed materials for executive staff and external clients
  • Organize meeting events in-house and external meetings
  • Order office supplies and run errands on an as needed basis
  • Create and update contacts via database system as necessary
  • Assist in interview coordination as requested
  • Provide back-up support to administrative team and perform other duties as needed
  • Assist with ad-hoc  projects
Qualifications Include:
  • 3-6 years of experience (ideally as an Executive Assistant to senior level executives in a complex and fast paced environment)
  • Bachelor’s degree from a top university is a must
  • Ability to gauge and assess a situation quickly and with focus, and adjust priorities accordingly
  • Ability to handle the details of highly confidential and critical tasks and projects with discretion and ease
  • Computer savvy and technical proficiency required (iPhone, iPad, etc.)
  • Great communicator and can engage professionally, either verbally or in writing, with people across and throughout the organization and externally
Compensation: $75-85k base, plus overtime, bonus, and fully paid benefits
