Our client, a financial firm, is seeking an Executive Assistant to the Real Estate Team. The ideal candidate will be professional and confident in multitasking. The Assistant will work on a range of tasks including calendar maintenance, budget and expenses, travel coordination, expense management, and other assigned projects.

Responsibilities Include:

  • Heavy calendar management and scheduling meetings with investors/potential investors
  • Phone coverage and directing inquiries
  • Event planning including group meetings and dinners
  • Manage ongoing work stream coordination with other departments
  • Prepare materials for meetings and conferences as needed including, for example, biographies of meeting attendees and customized presentation
  • General office duties such as word processing, copying, and data entry
  • Maintain and update personal contact information in Outlook and client contacts in customer relationship management software
  • Complete monthly expense reports
  • Assist with reports and presentations
  • Projects as needed (e.g., coordinate large client dinner events, client holiday card mailings, client book mailings)

Qualifications Include:

  • Bachelor’s degree is required
  • 5-7 years of experience in a similar role
  • Proficient in Microsoft Suite
  • Ability to maintain the highest level of confidentiality and discretion
  • Excellent organization skills and ability to juggle multiple tasks in a fast-paced
  • Strong written and verbal communication skills, with ability to communicate clearly and effectively at all levels, both internally and with clients

Compensation: $90-100k base, plus bonus
