Overview

Our client, a financial firm, is seeking an Administrative Assistant for its Stamford office. This person will be working as the second assistant to the CEO and will also provide occasional support to the Chief Strategy Officer, COO, and Investor Relations Manager.

Responsibilities:

  • Heavy calendar management; internal/external meetings and conference calls (between multiple time zones)
  • Coordinating high volume of international and domestic travel
  • Weekly expense reporting and invoice management for all HR expenses
  • Creating PowerPoint presentations and preparing meeting materials
  • Data entry, manipulation, and analysis in Excel
  • Preparing legal documents for execution, delivery, and submission
  • Managing of timecards for employees including approval of time-off requests
  • Ordering and maintain office supplies
  • Management of incoming mail and processing of FedEx
  • Management of corporate apartment (booking dates for visitors, arranging cleaners, ordering supplies)

Qualifications:

  • Bachelor’s degree is a MUST
  • 4+ years of prior experience in an Administrative role in a financial services firmProficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Strong attention to detail and organizational skills
  • Ability to work on multiple projects in a fast paced environment

Compensation: $65k base, plus bonus
